Privacy Policy

1. Who We Are

Everyday AI Automation ("Everyday AI Automation," "we," "us," or "our") provides AI agent deployment, forward-deployed engineering, and agentic AI consulting services to businesses. This policy explains what personal information we collect through everydayaiautomation.com (the "Site"), why we collect it, how we use and protect it, and the choices and rights available to you. It applies to visitors to the Site and to individuals who submit information through our contact form. It does not govern data processed on behalf of a client under a signed Statement of Work or Master Services Agreement, which is instead governed by that agreement and any applicable Data Processing Addendum.

2. Information We Collect

Information you give us directly. When you submit our contact form, we collect your name, work email address, phone number, company name, and the message content you provide describing what you're looking to automate.

Information collected automatically. We use Google Analytics (GA4) to understand how visitors use the Site. This may include your IP address (which Google truncates/anonymizes for EU/EEA/UK visitors), browser and device type, approximate location, pages viewed, time on page, and referring URLs, collected via cookies and similar technologies.

Information we do not knowingly collect through the Site. We do not use the Site's contact form to collect Social Security numbers, government identification numbers, payment card details, or Protected Health Information (PHI). See Section 11 for how PHI is handled in a client engagement.

3. How We Use Information

  • To respond to inquiries submitted through our contact form and schedule a requested audit or call
  • To evaluate, scope, and follow up on potential client engagements
  • To understand and improve how visitors use the Site, and to measure the effectiveness of our marketing
  • To detect, investigate, and prevent fraud, abuse, and security incidents
  • To meet our legal, accounting, tax, and recordkeeping obligations

We do not sell or rent your personal information, and we do not use contact form submissions to train third-party AI models.

4. Legal Basis for Processing (EEA, UK & Switzerland)

Where the GDPR or UK GDPR applies, we process your personal information on the following legal bases: your consent (for example, when you submit the contact form); our legitimate interests in operating, securing, and marketing our business, provided those interests are not overridden by your data protection rights; and, where applicable, to take steps at your request prior to entering into a services agreement with you or your employer.

5. Cookies & Analytics

This Site uses Google Analytics (GA4) and Microsoft Clarity, which place cookies in your browser and may record page interactions (such as clicks, scrolling, and mouse movement) to help us understand how visitors use the Site. Clarity masks form field input by default. You can opt out of Google Analytics tracking using the Google Analytics Opt-out Browser Add-on, and you can opt out of Microsoft Clarity and other Microsoft advertising cookies at choice.microsoft.com, or by adjusting your browser's cookie settings to block third-party cookies. We do not currently use non-essential advertising or cross-site tracking cookies on the Site.

6. How We Share Information

We share information only with service providers who help us operate the Site and run our business — for example, our web hosting provider, our email delivery infrastructure, Google Analytics, and Microsoft Clarity — and only as necessary for them to perform those services on our behalf, under contractual confidentiality and data protection obligations. We may also disclose information where required to comply with a subpoena, court order, or other legal process, to enforce our agreements, or to protect the rights, property, or safety of Everyday AI Automation, our clients, or the public. If Everyday AI Automation is involved in a merger, acquisition, or sale of assets, personal information may be transferred as part of that transaction, subject to this policy. We do not share your information with third parties for their own independent marketing purposes.

7. International Data Transfers

We are based in the United States, and information we collect is generally processed and stored in the United States. If you are located outside the United States, your information will be transferred to, and processed in, the United States and other jurisdictions that may not have the same data protection laws as your home jurisdiction. Where required, we rely on appropriate safeguards — such as Standard Contractual Clauses — for such transfers.

8. Data Retention

We retain contact form submissions for up to 24 months from your last interaction with us, or longer where necessary to pursue a client engagement, comply with a legal obligation, resolve a dispute, or enforce our agreements. Analytics data is retained according to our Google Analytics configuration (currently 14 months from collection), after which it is automatically deleted or aggregated. Records associated with an active or completed client engagement are retained for the period specified in the applicable Statement of Work or as required by law, whichever is longer.

9. Your Privacy Rights

If you are in the EEA, UK, or Switzerland (GDPR/UK GDPR): you have the right to request access to, correction of, deletion of, or restriction on our use of your personal information; to object to certain processing; to receive a copy of your information in a portable format; and to lodge a complaint with your local data protection supervisory authority.

If you are a California resident (CCPA/CPRA): you have the right to know what personal information we have collected about you, to request deletion of that information, to correct inaccurate information, and to opt out of the sale or sharing of personal information (we do not sell or share personal information as defined by the CCPA). We will not discriminate against you for exercising any of these rights.

To exercise any of these rights, contact us at info@everydayaiautomation.com. We will respond within the timeframe required by applicable law and may need to verify your identity before fulfilling certain requests.

10. Security

We use reasonable technical and organizational measures — including access controls, encryption in transit, and least-privilege access to client and visitor data — designed to protect the information we collect from unauthorized access, disclosure, alteration, or destruction. No method of transmission or storage is 100% secure, and we cannot guarantee absolute security. If we become aware of a breach affecting your personal information, we will notify you and any applicable regulator as required by law.

11. Protected Health Information (HIPAA)

The Site and our standard engagement process do not involve the collection, use, storage, or transmission of Protected Health Information (PHI) as defined by the Health Insurance Portability and Accountability Act (HIPAA). If a client engagement requires Everyday AI Automation to access, create, or transmit PHI on a client's behalf — for example, when deploying an agent for a healthcare client — that access is governed exclusively by a separate, signed Business Associate Agreement (BAA) executed with the client before any such access begins, consistent with the HIPAA Privacy and Security Rules. Absent an executed BAA, no PHI should be submitted to us through the Site's contact form or otherwise.

12. Children's Privacy

This Site is intended for business audiences and is not directed to children. We do not knowingly collect personal information from anyone under 16. If we learn that we have collected personal information from a child in violation of this policy, we will delete it promptly.

13. Third-Party Links

The Site may link to third-party websites, including scheduling tools. We do not control and are not responsible for the privacy practices of any third-party site. We encourage you to review the privacy policy of any site you visit.

14. Changes to This Policy

We may update this policy from time to time to reflect changes in our practices or for legal, operational, or regulatory reasons. The "Last updated" date above reflects the most recent revision. Material changes will be reflected on this page; continued use of the Site after changes are posted constitutes acceptance of the updated policy.
